Available and mature

Make every approved document clear, effective, and defensible

QSigma360 Documents brings the document lifecycle together, from authoring or import through review, approval, signature, effective date, distribution, and archive. Users know which version applies, while quality teams retain the decisions, changes, acknowledgements, and official outputs behind it—without relying on scattered folders or near-identical filenames.

A document lifecycle from authoring and review to approval, release, and controlled distribution

Who is it for?

QSigma360 Documents serves document-control, quality, food-safety, and compliance teams; procedure owners; reviewers; approvers; and multisite organizations needing a dependable source for policies, procedures, forms, and specifications. Audit, training, and change-control owners also benefit when work depends on a document version or acknowledgement.

The problem and the value

A shared file does not prove that the right person reviewed it, that it is effective, or that obsolete copies were withdrawn. Multiple sites and languages increase the risk of applying a superseded procedure, losing change rationale, or struggling to assemble audit evidence.

QSigma360 Documents connects content with its owner, classification, reviewers, status, and effective date. It separates draft, approved version, official output, and controlled copy. The result is faster access, clearer accountability, and traceable history—without claiming that software alone guarantees certification or compliance.

Six capabilities and outcomes

  1. 1Structured authoring or import: Create content or upload Word and PDF files with document code, type, owner, department, classification, and review cycle.
  2. 2Review, approval, and signature: Route content to authorized reviewers and approvers, capturing comments, decisions, time, and actor identity.
  3. 3Version and effective-date control: Distinguish lifecycle states while retaining change rationale and relationships between versions.
  4. 4Read, acknowledge, and distribute: Assign reading, track policy-required acknowledgement, and define the authorized audience.
  5. 5Controlled-copy management: Issue a defined copy and record download, print, status, replacement, or withdrawal.
  6. 6Official PDF and verifiable archive: Generate controlled PDF outputs with version data and QR where configured. Retain output, copy, and distribution history. General Word export is not presented as complete.

How the lifecycle works

  1. 1Create the document record and select its content source and metadata.
  2. 2Prepare content and attachments and appoint reviewers and approvers.
  3. 3Resolve comments, revise, and record authorization and signature.
  4. 4Confirm the version and effective date and publish to the authorized audience.
  5. 5Monitor acknowledgement, controlled copies, and the official output.
  6. 6Start a new version or cancel the document while preserving prior history.

Integration and governance

The product connects with Change Control, CAPA, Audits, and Training. A change may trigger a new version; an updated procedure may require acknowledgement or training. Permissions, timestamps, and activity history preserve accountability. AI may assist drafting but cannot approve or sign. Electronic-signature suitability depends on configuration, policy, and jurisdiction.

Frequently asked questions

Can we upload Word and PDF files?

Yes. Both can enter the controlled lifecycle under configured file policies, but Word upload does not mean general official Word export is available.

Does a new version delete the old one?

No. Prior versions, statuses, and change reasons remain available to authorized users according to retention policy.

Approved version or controlled copy—what is the difference?

The approved version completed authorization; a controlled copy is an issued instance for a recipient, location, or purpose and requires distribution and replacement tracking.

Does the product guarantee compliance or certification?

No. It provides control, evidence, and traceability tools; implementation, assessment, and compliance remain the organization’s responsibility.
